In today’s fast‑paced and increasingly complex business environment, project managers are expected to deliver results faster, more efficiently, and with a higher degree of precision and value than ever before. While standards and methodologies like the PMBOK® Guide, PRINCE2®, Agile, as well as hybrid approaches provide invaluable structure, every seasoned project manager eventually makes an important discovery: no methodology works straight out of the box for every project in the same way. Every project is its own “beast”. This is where tailoring becomes not only relevant, but transformative.

Tailoring or the deliberate adaptation of project management processes, tools, governance, and practices to fit the unique characteristics of a project, has become a defining factor that separates competent project managers from exceptional ones. More than a technical skill, it is both an art and a secret strategic advantage.

Understanding Tailoring

Tailoring involves customizing a project management approach to suit the specific needs of the project, organization, team dynamics, stakeholders, and situational variables. Rather than applying processes rigidly and in a predictable way, a tailored approach ensures that the project receives just the right degree of structure, oversight, reporting, and methodological rigor.

I was delighted when this concept was first introduced in the 6^th edition of the PMI® Body of Knowledge around 2017. It needed more definition, more fleshing out. It remained in the 7^th edition and is now firmly part of the 8^th edition that was released in November 2025.

At its core, tailoring answers the question:

**“What does this project really need to be successful?”**

This means assessing variables such as:

Project size and complexity
Risk levels
Requirements volatility
Organizational culture and maturity
Stakeholder sophistication
Resource availability
Legal, regulatory, or compliance constraints

By adjusting the methodology in response to these factors, project managers avoid unnecessary overhead while ensuring essential controls remain in place.

Why Tailoring Matters in Modern Project Environments

One Size Never Fits All

Even projects that appear similar, same department, similar technology, similar stakeholders, will inevitably have meaningful differences. Having to sit down with the team and consider these differences allows us to stop rigidly applying a methodology because “that’s how we always do it”. Not paying attention often leads to inefficiency, frustration, and misalignment.

Tailoring allows the project manager to:

Remove administrative clutter
Introduce agility where needed
Strengthen governance in high‑risk areas
Focus the team’s energy on value delivery

The result is a methodology fit for purpose, not one chosen by habit.

Tailoring Reduces Waste and Increases Efficiency

Traditional project management can sometimes be weighed down by exhaustive documentation, rigid phase gates, or lengthy approval cycles. While these have their place, many projects simply do not require that level of formality.

Effective tailoring enables:

Faster decision-making
Leaner processes
Optimal use of team time
Reduced cost through elimination of unused deliverables

By replacing “default” processes with intentional processes, teams become more efficient and more motivated. They also have better insights into their project and a clearer view of size, complexity and nuances that are key for a particular initiative.

Tailoring Enhances Stakeholder Engagement

Different stakeholders have different needs. Some want detailed analyses and frequent reporting; others want succinct dashboards and occasional updates.

Through tailoring, the project manager can:

Customize communication plans
Adjust stakeholder reporting formats
Establish decision-making models that work for the context
Align expectations with reality early in the project

The project becomes more transparent and predictable, which builds trust and confidence among stakeholders.

Tailoring Increases Adaptability in Uncertain Environments

Projects rarely unfold exactly as planned. Requirements evolve, unexpected problems arise, technology changes, and stakeholder priorities shift.

A tailored methodology:

Gives teams flexibility to pivot
Supports iterative planning
Makes it easier to introduce new tools or techniques mid‑stream
Allows for changes to be fully considered
Helps the team adapt efficiently when risks become issues

A rigid methodology can break under pressure. A tailored one bends, adjusts, and supports the team through change.

Tailoring Shows Professional Judgment

Methodological knowledge is valuable, but mastery lies in knowing when to use which tools and why. This should be a core skill for any good project manager. Mastering the art of tailoring demonstrates:

Critical thinking
Contextual understanding
Experience and domain expertise
The ability to balance theory with practicality

Executives recognize tailoring as the mark of a mature project manager who can navigate ambiguity and complexity.

Tailoring as a Strategic Advantage

So why is tailoring a secret weapon?

Because project managers who tailor effectively can consistently deliver superior results, even when facing significant constraints. Tailoring elevates a project manager’s capability from “following a process” to engineering success through well-thought and selected processes.

Here’s what makes it so powerful:

It allows customization without chaos. Tailoring adds flexibility but is grounded in rationale, structure, and deliberate choice.
It creates methodologies that scale. A tailored approach works for small projects, mega‑projects, or anything in between.
It turns methodology into a competitive advantage. Organizations with tailored approaches can execute faster, respond better, and deliver more consistently.
It builds credibility and influence. Teams and stakeholders trust a PM who demonstrates thoughtful methodology decisions—not one who blindly applies templates.
It enhances team morale. Removing unnecessary process friction boosts productivity, creativity, and engagement.

Tailoring is the ultimate blend of discipline and creativity and that combination leads to better outcomes.

How to Tailor Effectively

While tailoring is context‑specific, the most successful project managers follow a similar approach:

Assess the Project Context Thoroughly

Before defining the approach, analyze:

Risks
Stakeholders
Requirements volatility
Technology complexity
Organizational constraints

Define What the Project Needs

Ask:

What is essential?
What is optional?
What would add value?
What would create waste?

Choose the Right Tools and Processes

Blend elements from:

Waterfall
Agile
Hybrid
PMO standards
Industry‑specific frameworks

Document the Tailoring Decisions

Record:

What was tailored
Why it was tailored
How it benefits the project

This transparency prevents misunderstandings later.

Continuously Review and Adjust

Tailoring is not a one‑time activity. It should be come part of your iterative process.
As the project evolves, so should the approach.

Tailoring is one of the most powerful, yet often underestimated, capabilities a project manager can possess. It transforms generic methodologies into precision tools. It reduces waste, enhances efficiency, improves stakeholder satisfaction, and boosts a team’s ability to adapt to change.

At its heart, tailoring is the project manager’s secret weapon because it allows them to design an approach uniquely suited to each initiative, balancing structure with flexibility and rigor with efficiency.

Organizations that recognize the value of tailoring are more likely to deliver consistently successful projects. And project managers who master the art of tailoring stand out as strategic thinkers, leaders, and catalysts for real organizational value.

About the Author

For those who don’t know Sylvie, she has been involved in Project Management in several industries for the past 25+ years. Sylvie previously worked for a top 5 Consulting Firm, where she oversaw projects in the IT, Banking, Health, Government and Securities sectors as well as a Manager in the Risk Management practice.

Sylvie went on to establish her own consulting practice assisting organizations in establishing processes, strategies and developing methodologies. She was instrumental in the development of methodologies for the creation of PMOs as well as for the evaluation, assessment and review of projects in peril.

Sylvie is currently a professor and the coordinator for the Project Management Certificate Program at Durham College. She previously taught at the University of Toronto continuing studies department, assisting hundreds of potential PMP® achieve their certification. She is a frequent lecturer, presenter and blogger (PMWorld360°, ProjectBites, LinkedIn) on all things related to project management. She holds several certifications and has the honour of having been named Fellow of the Project Management Association of Canada (FPMAC).

Sylvie’s involvement with PMI® is long standing including over 12 years on the Board of Directors of the local Chapter where she led initiatives in education, mentoring and held the role of President for two terms.
